Agreement and Declaration
Nepal Spirit Adventure is a government-registered trekking and travel company in Nepal, committed to providing reliable, professional, and high-quality travel services to our valued clients. We continuously work to improve our service standards and contribute to the sustainable development of Nepal's tourism industry. Our priority is to ensure that every guest enjoys a safe, comfortable, and memorable travel experience.
Safety and Risk Acknowledgment
Safety is one of our highest priorities. However, trekking, hiking, peak climbing, mountaineering, and adventure travel in the remote Nepal Himalayas involve inherent risks, including injury, illness, accidents, altitude-related problems, and, in extreme circumstances, death.
Mountain weather and environmental conditions can change rapidly and may be beyond the control of Nepal Spirit Adventure. Although our experienced team takes reasonable precautions and follows appropriate safety procedures to minimize potential risks, it is not possible to completely eliminate all hazards associated with Himalayan adventure activities.
By booking a trip with Nepal Spirit Adventure, you acknowledge and accept the inherent risks associated with your chosen adventure. You are responsible for carefully reviewing and understanding our booking terms, conditions, policies, and travel requirements before confirming your trip.
We strongly recommend that all travelers obtain appropriate travel insurance covering trekking, high-altitude activities, emergency medical treatment, and helicopter evacuation, where applicable.
Please carefully read the following Nepal Spirit Adventure Booking Terms and Conditions before making your reservation.

Risk and Liabilities
All tours, trekking, hiking, climbing, and travel activities organized by Nepal Spirit Adventure in Nepal, Tibet, and Bhutan are conducted in accordance with applicable government regulations, tourism policies, and local authority requirements.
However, adventure travel in the Himalayas can be affected by circumstances beyond our control. These may include changes in government laws or regulations, government restrictions, natural disasters, severe weather, political unrest, flight cancellations or delays, illness, accidents, road conditions, vehicle breakdowns, strikes, and other unforeseen circumstances.
In such situations, Nepal Spirit Adventure cannot be held responsible for changes, delays, interruptions, additional costs, or cancellations resulting from circumstances beyond our reasonable control. Any additional expenses arising from such unforeseen events, including accommodation, transportation, meals, flight changes, rescue, or other necessary services, will be the responsibility of the traveler.
Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance before beginning their journey. Your insurance should cover the activities included in your itinerary and, where applicable, medical treatment, emergency evacuation, helicopter rescue, trip cancellation, trip interruption, flight delays, lost baggage, and other unforeseen travel expenses.
By booking a trip with Nepal Spirit Adventure, travelers acknowledge that Himalayan travel involves inherent risks and agree to take appropriate precautions and obtain adequate insurance coverage for their journey.
Last-Minute Booking
Nepal Spirit Adventure accepts last-minute bookings for selected tours, treks, and adventure trips in Nepal, subject to availability and the time required to arrange transportation, accommodation, permits, guides, and other necessary services.
For trips within Nepal, travelers may generally make a booking up to three days before the scheduled departure date. However, last-minute bookings are subject to availability and may depend on flight schedules, accommodation availability, permits, and other logistical requirements.
Tibet and Bhutan Tours
Last-minute bookings for Tibet and Bhutan tours may not be possible due to visa requirements, travel permits, government regulations, transportation arrangements, and other booking procedures.
We strongly recommend booking Tibet and Bhutan tours well in advance to allow sufficient time to process the necessary permits, visas, and travel arrangements.
For any last-minute travel requests, please contact Nepal Spirit Adventure as soon as possible. Our team will check availability and advise you on the available options.
Guaranteed Trip Departure
Nepal Spirit Adventure offers guaranteed trip departures for confirmed bookings. Once your trip has been booked and the departure date has been confirmed, we do not cancel the trip simply because the minimum number of participants has not been reached.
Whether you are traveling individually, as a couple, with family, or as part of a small group, your confirmed trip will proceed according to the agreed itinerary and scheduled departure date, subject to circumstances beyond our reasonable control.
We believe that travelers should be able to plan their Himalayan adventure with confidence. Our guaranteed departure policy ensures that your trip will not be canceled solely due to insufficient group size.
Please note that exceptional circumstances beyond our control, such as natural disasters, government restrictions, severe weather, political unrest, or other unforeseen events, may require changes to the itinerary or departure arrangements in accordance with our Risk and Liabilities policy.
Postponing the Trip
If you are unable to travel on your confirmed departure date for any reason, you must notify Nepal Spirit Adventure in writing as soon as possible.
Upon receiving your postponement request, we will review the available options and work with you to arrange a new travel date, subject to availability and the terms of your original booking.
Any additional costs resulting from postponing the trip, including changes to flights, accommodation, permits, transportation, guides, or other travel services, may be charged to the traveler.
We recommend informing us as early as possible so that we have sufficient time to adjust your itinerary and make the necessary arrangements.
Trip Cancellation Policy
Please carefully review the following Trip Cancellation Policy before confirming your booking with Nepal Spirit Adventure.
20% Non-Refundable Deposit
A 20% deposit of the total trip cost is required to confirm your reservation. Once your booking has been confirmed, this deposit becomes non-refundable and will be retained as the trip cancellation fee if you decide to cancel your trip.
The 20% deposit remains non-refundable regardless of whether you cancel your trip 30 days or less before the scheduled departure date.
Refund of Remaining Payment
If you have paid more than the required 20% booking deposit, the remaining amount after deducting the 20% cancellation fee may be refunded to you through the original payment method, subject to any applicable charges, non-refundable expenses, or costs already incurred for your trip arrangements.
Cancellation After Booking Confirmation
This cancellation policy becomes effective as soon as your reservation is confirmed by Nepal Spirit Adventure. By confirming your booking, you acknowledge and agree to the applicable payment and cancellation terms.
We strongly recommend purchasing comprehensive travel insurance with trip cancellation and interruption coverage to help protect you against unexpected circumstances that may prevent you from traveling.
Trip Cancellation Policy for Bhutan and Tibet
The Trip Cancellation Policy for Bhutan and Tibet applies to all confirmed bookings made through Nepal Spirit Adventure.
Non-Refundable Trip Deposit
The deposit paid to confirm a Bhutan or Tibet tour will be treated as a trip cancellation fee if the traveler cancels the confirmed booking. The deposit is non-refundable once the reservation has been confirmed.
This policy applies because advance arrangements may be required for permits, visas, transportation, accommodation, guides, and other travel services for Bhutan and Tibet.
No Trip Postponement
Nepal Spirit Adventure does not offer trip postponement for confirmed Bhutan and Tibet bookings. If you are unable to travel on your confirmed departure date, the booking will be subject to the applicable cancellation policy.
Travelers are strongly encouraged to review the booking conditions carefully and obtain comprehensive travel insurance, including trip cancellation and interruption coverage, before confirming their Bhutan or Tibet tour.
Incomplete Tour
If a traveler is unable to complete a tour, trek, hike, climbing trip, or other excursion for personal reasons or circumstances attributable to the traveler, Nepal Spirit Adventure will not be responsible for providing a refund or reimbursement for the unused portion of the trip.
This policy may apply in situations such as voluntary withdrawal, personal decisions, lack of preparedness, failure to follow the agreed itinerary, or other circumstances where the traveler chooses or is unable to continue the trip.
Any unused services, including accommodation, meals, transportation, permits, guide or porter services, flights, and other pre-arranged travel arrangements, are generally non-refundable once the trip has commenced.
We strongly recommend that travelers purchase comprehensive travel insurance that includes trip interruption, cancellation, medical emergencies, and emergency evacuation coverage to help protect against unforeseen circumstances during the journey.
Unforeseen Circumstances
At Nepal Spirit Adventure, we understand that unexpected events can sometimes affect travel plans. If your tour, trek, or adventure trip is canceled or significantly disrupted due to unforeseen circumstances beyond our reasonable control, we will work with you to arrange an alternative trip or revised travel date, where possible.
Such circumstances may include natural disasters, earthquakes, landslides, severe weather conditions, war, political unrest, government restrictions, flight disruptions, or other major unforeseen events.
Our team will make every reasonable effort to minimize the impact on your travel plans and help arrange suitable alternative services or a new itinerary, subject to availability and applicable costs.
Please note that any additional expenses resulting from unforeseen circumstances may be the responsibility of the traveler. We strongly recommend purchasing comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, and evacuation.
Our goal is to ensure that, even when circumstances beyond our control affect your original itinerary, we work with you to find the most practical alternative and help make your Himalayan journey possible.
Price Changes
Nepal Spirit Adventure reserves the right to adjust trip prices when circumstances beyond our reasonable control significantly affect the cost of providing travel services.
Price changes may result from factors such as significant currency exchange-rate fluctuations, inflation, changes in government taxes or fees, new government regulations, permit fee increases, transportation costs, or other official actions that directly affect the cost of the trip.
We will make reasonable efforts to maintain the price confirmed at the time of booking. However, where substantial changes in operating costs occur due to unforeseen economic or government-related circumstances, an adjustment to the trip price may be necessary.
Any applicable price adjustment will be communicated to the traveler as soon as reasonably possible. Travelers are responsible for additional costs arising from circumstances covered by this policy, where applicable.
Travel Insurance
All clients traveling with Nepal Spirit Adventure are required to have comprehensive travel insurance that provides adequate coverage for the activities included in their itinerary. Travel insurance is an essential requirement for participating in our trekking, hiking, climbing, mountaineering, and other adventure activities.
Your travel insurance should cover, where applicable:
- Emergency medical treatment and medical expenses
- Personal injury and accidents
- Emergency evacuation and helicopter rescue
- Trip cancellation and interruption
- Loss, theft, or damage to baggage and personal belongings
- Loss or damage to trekking and adventure equipment
- Natural disasters and other unforeseen events
- Emergency transportation and repatriation
For high-altitude trekking and climbing trips, travelers should ensure that their policy specifically covers high-altitude activities and emergency helicopter evacuation up to the maximum altitude of their planned itinerary.
Nepal Spirit Adventure may request proof of valid travel insurance before or during the trip. Travelers are responsible for understanding the terms, exclusions, and coverage limits of their insurance policy.
Nepal Spirit Adventure is not responsible for expenses that are not covered by the traveler's insurance policy. We strongly recommend reviewing your insurance coverage carefully before traveling to Nepal, Bhutan, or Tibet.
Flight Delay and Cancellation
Flight delays and cancellations can occur, particularly when traveling to remote mountain regions of Nepal, where flights are highly dependent on weather and operating conditions. This is especially common in destinations such as the Everest, Annapurna, Dolpo, Simikot, and Jumla regions.
Adverse weather, poor visibility, strong winds, airport operating restrictions, technical issues, and other unforeseen circumstances may result in flight delays, cancellations, or schedule changes.
Travelers are therefore strongly advised to allow extra days in their itinerary and carry sufficient additional funds to cover unexpected expenses such as meals, accommodation, transportation, and alternative flights in the event of delays or cancellations.
Nepal Spirit Adventure (NSA) will make reasonable efforts to assist travelers with alternative arrangements whenever possible. However, additional expenses resulting from flight delays or cancellations that are beyond our control are the responsibility of the traveler.
We strongly recommend purchasing comprehensive travel insurance that includes coverage for flight delays, cancellations, trip interruption, and related unexpected expenses. Please plan your itinerary accordingly and allow adequate flexibility when traveling to remote Himalayan destinations.

Nepal Spirit Adventure recommends confirming the applicable booking conditions at the time of reservation to avoid any misunderstanding regarding your trip arrangements.
